We have a convenience store a block away that we purchase our dealership gas from.  We keep a couple of the store brand gas cards in the drawer in our office area....a central location.  People who use them to put gas in vehicles....mostly the porter and sometimes the salespeople...put the vehicle stock number on the receipt and my AP gal audits them with the monthly bill. 

Looking for different policies that others use to control the gas use and keep it only for business use.  We don't have the room or a good location for our own gas barrel on site....especially with our gas being a short block away.  I just want to have a better control system without looking like I am accusing anyone of stealing gas.  Thanks for the help.

I sat in on a great presentation that addresses this exact issue -- its a product called Fuel Trace - it was brought out by Affinisense (or something like that) -- it tightens up the process, record keeping. For a couple of clients it appears that it reduced their gas tab up to 20% and reduced back of the house costs (no more spreadsheets and paper receipts!)

I can't tell you much more about this -- PMG is a group that is constantly evaluating new ideas and vendors for dealerships although we have NO ties to the vendors/suppliers themselves. We thought this one has potential benefit to many of our customers
